Privacy and data policy

What personal data we collect, why we collect it, storage and retention

Cookies: This site uses cookies – small text files that are placed on your machine to help the site provide a better user experience. In general, cookies are used to retain user preferences, store information for things like shopping carts, and provide anonymised tracking data to third party applications like Google Analytics. As a rule, cookies will make your browsing experience better. However, you may prefer to disable cookies on this site and on others. The most effective way to do this is to disable cookies in your browser. We suggest consulting the Help section of your browser or taking a look at the About Cookies website which offers guidance for all modern browsers

In person: at sales events. The information requested will be name, phone number, address, email address, type of product of interest and possibly the customer’s budget, this will be stored as a hard copy only

By phone: The information requested will be name, phone number, address, email address, type of product of interest and possibly the customer’s budget, this will be stored as a hard copy only

Website: No personal data on my customers is stored or processed on this website. The enquiry form only holds the personal data of name, email address and message for a short time until they send the email. This is not held on the website server. After the data arrives by email, the device is password protected

Facebook: When a customer makes an enquiry via the business Facebook page messaging service, their registered Facebook name will be stored in my email and on Facebook, along with any other information they include in the enquiry. This will be accessible on both laptop and phone

Email: When a customer makes an enquiry via my personal email, their name, email address, and possibly their home address and phone numbers will be stored in my email. This will be accessible on both laptop and phone

Etsy.com: When a customer purchases goods through the Etsy shop, their name, email address, postal address, type of item and price paid will be stored electronically on the Etsy website and detailed in emails to me from Etsy

Commissioning process: While a customer decides whether to go ahead with a commission, a paper copy will be held of the name, address, email address, phone numbers, details of the project, printed emails and possibly budget details. If the customer decides not to go ahead with the commission, emails will be deleted and paper files will be shredded unless the customer requests for it to be kept for possible future commissions. If the customer decides to go ahead with the commission, the paper file will remain intact for the duration of the project, as will email and Facebook communications. Emails and Facebook communications will also be printed for ease of access in the studio to facilitate undertaking the commission. Paperwork and electronic records of the commission will be kept for as long as deemed necessary to complete the commission. On completion, emails will be deleted and paper files will be shredded unless the customer requests for it to be kept for possible future commissions. In some instances, commissioning may be delayed when this happens customers may be asked to give permission for me to hold their details securely until I am in a position to start their commission

Financial records: Customer invoices are kept in password-protected electronic form on laptop as required by HMRC (and backed up on an external hard drive). They are also kept in paper form, locked in a filing drawer. These store names, addresses or email addresses, products purchased and price paid. Excel spreadsheets also hold minimal customer information for purposes of completing tax returns. This is restricted to customer name and price paid and is password protected on laptop and backed up on external hard drive. When a customer pays by credit card for goods through my business PayPal account, their name and price paid appears on my PayPal accounts. When a customer makes a payment direct to my business bank, their name and the value of the transaction appears on my bank statements. These are delivered in a paper format to my home address and filed

How we protect your data

Hard copy: Paper data storage will be in a suitable locked storage

Electronic: Data stored electronically on laptop, phone and backed up on an external hard drive will all be password protected. Access to the business Facebook page, Esty financial details and PayPal are also password protected

Who we share your data with

Disclosing your information: we will not pass on your details to other providers, unless you give your consent for us to do so, and we will not share your information with any other organisations for marketing, market research or commercial purposes. We may need to pass on your personal information if we have a legal obligation to do so

Newsletters and targeted advertising:  At present I do not send out any newsletters or advertising, either by email or by post or by phone

Where we send your data

Third parties: data will not be passed to any third parties unless required to process a commission. e.g. to enable the window fitter to contact the customer to arrange to attend the property address for purposes of assessment, measuring and fitting

Contact form: The information you place into the contact form on this website is not stored on the website

The form, does not:

  • track users by stealth
  • write any user personal data to a database
  • send any data to external servers
  • use cookies
  • provide data to Google Analytics

What rights you have over your data

You can request to receive the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes
